How to Document for Progress Payments
Photo proof at every milestone means faster approvals and fewer payment disputes.
Link photos to payment milestones
Progress payments are tied to milestones — foundation complete, framing complete, rough-in complete, finish complete. If you can't prove the milestone is done, you don't get paid. The best contractors photograph every milestone as it's completed, then attach those photos to their draw request. It takes the back-and-forth out of the approval process. The bank, the GC, or the homeowner can see the proof without scheduling a site visit.
What to capture at each milestone
Foundation
Footings, rebar placement, pour in progress, cured slab. Include a wide shot showing the full footprint and close-ups of rebar spacing and anchor bolts.
Framing
Wall framing, roof trusses, sheathing. Photograph from multiple angles. Include shots showing header sizes, stud spacing, and any engineering details the inspector will check.
Rough-in
Plumbing, electrical, HVAC — all before drywall closes it up. These photos are your permanent record of what's behind the walls. GPS-tag every shot.
Finish
Completed rooms, installed fixtures, final grading. Take wide shots of every room plus close-ups of countertops, tile work, and hardware. These photos support your final draw.
How to use photos for draw requests
Define milestones upfront
At project start, list the milestones tied to each payment. Match them to the contract schedule. LibreCam lets you set up milestones in the app so you know exactly what to photograph.
Capture milestone photos
When a milestone is complete, take a comprehensive set of photos — wide angles, close-ups, and detail shots. Tag them with the milestone name.
Export a report for the payment request
Generate a milestone completion report with all tagged photos, timestamps, and GPS data. Attach it to your draw request. The approver sees the proof without visiting the site.
